AI Feature Billing Guide
This guide explains how our AI features are billed, including your free trial, how to manage your subscription, and our pricing.
Our billing is based on usage, not a flat fee. This is because different AI tasks (like generating a simple text description vs. a complex image) have very different costs. This model ensures you only pay for what you use.
How the Free Trial Works
- A Tool for Learning: This trial is the best way to see how your team's specific workflows use AI requests. For example, you can see how many requests are made for bulk-generation jobs versus single-item jobs.
- Trial Expiration: The trial ends when your account's 500 requests have been used. At this point, the AI features will be automatically disabled until an admin re-enables them on a paid plan.
- In-App Notifications: Your users will be notified within the platform when the trial allowance is running low and when it has expired.
Understanding AI Requests & Variable Costs
This is the most important part of our billing model. Pricing is based on the fees we incur for each AI request.
Not all requests are equal. A "request" is when you submit a task to the AI system—whether that's generating one item or 50 items in a bulk job, it counts as one request.
The cost of each request varies based on the complexity and the number of tokens used by the AI provider. For example, generating a simple product description requires fewer tokens than generating a high-resolution image in Planner.
Our pricing reflects the actual costs involved in providing these AI services, including the complexity of different tasks, ongoing platform development, and support. Each request is a single request.
Examples of How Requests Work
Here is a conceptual guide to how this works. Please note these are examples only. The exact charges for each user are shown live on your AI in Site Settings.
Important: Each user submission counts as one request, regardless of how many items are included. The number of AI Requests is 1 regardless of whether it's a bulk or a single request. There is no correlation back to charges for the requests—this is merely an indicator to see how many individual times an AI action has been requested by your team members.
- Simple Task (e.g., 1 description): Submitting a request to generate a single eCommerce description is 1 request, and may consume a small number of tokens.
- Complex Task (e.g., 1 image): Submitting a request to generate one AI image in Planner is 1 request, and might consume more tokens.
- Bulk Task (e.g., 100 descriptions): Submitting a bulk job to generate 100 descriptions at once is still 1 request, and might consume a large number of AI tokens as processing 100 items requires significantly more tokens than a single item, so the charges will be larger.
What about cancellations? Once an AI action is started (e.g., you click "Generate"), the request is committed. Cancelling the job part-way through will still count as a request, and you will be charged based on the fees we incur for the work completed.
How to Enable Paid AI Access
After your free trial expires, an account administrator must explicitly opt-in to continue using the AI features on a paid basis.
- As an administrator, navigate to Site Settings > Company > General Settings.
- Go to the AI tab.
- Toggle the "Enable AI features for your company" switch to ON.
- You will be asked to review and confirm the billing terms.
Billing will only commence after you have completed this step. You will not be charged automatically.

Pricing and Billing
Our AI billing is designed to be transparent and directly based on your usage.
- Pricing: After the trial, usage is billed based on the fees we incur for each AI request. The current pricing information is displayed in your AI settings (see Price and Rate Location below).
- Price and Rate Location: An administrator can see the current pricing information and a detailed breakdown of pricing for each specific feature at any time. This table is located in: Site Settings > Company > General Settings > AI tab
- Currency & Tax: All prices are in Australian Dollars (AUD) and are exclusive of GST. GST will be added to your invoice for all Australian-based customers.
Monitoring & Disabling AI
You are in full control of your AI usage.
- Monitoring: An administrator can visit Site Settings > Company > General Settings > AI tab at any time to see a report of your team's total AI Requests and associated charges for the current billing period.
- Disabling AI: You can disable the AI features at any time by toggling the "Enable AI features for your company" switch to OFF in your settings. This will immediately stop all AI features and prevent any future AI-related charges (other than usage already incurred in the current cycle).
