The Dates sidebar displays key timestamps associated with a claim's lifecycle, providing a comprehensive audit trail of when important actions occurred. While some dates are automatically recorded by the system, others can be manually set to track important milestones and deadlines.

Claim Dates

The Dates section provides a clear, at-a-glance view of a claim's progress, from creation to completion. It ensures auditability and transparency by capturing exactly when key actions occurred. This chronological record is essential for tracking claim processing times, identifying bottlenecks, and maintaining compliance with service level agreements. The section distinguishes between system-generated timestamps that cannot be modified and user-defined dates that can be set or adjusted as needed. Submission and resolution timing, plus editable due dates, support SLAs and handover to insurers or suppliers. System fields preserve an immutable record of when the claim was opened and last updated.

System-Generated Dates

These dates are automatically recorded by the system and cannot be manually edited. They provide an accurate, tamper-proof record of key events in the claim lifecycle.

Feature Description
Created Automatically set on the date and time the claim is first submitted. This timestamp marks the beginning of the claim lifecycle and cannot be modified. (System-generated, read-only)
Updated Automatically updated each time any change is made to the claim, including modifications to fields, status changes, or file uploads. This provides a complete audit trail of all claim activity. (System-generated, read-only)
Completed Displays when the claim was marked as Completed. When you hover over this field, you will see who marked it as completed. (System-generated, read-only)

User-Defined Dates

These dates can be manually set or cleared by users to track important milestones, deadlines, and custom scheduling requirements.

Feature Description
Due An editable field that can be configured by users to set a target completion date or deadline for the claim. Users can select a date from the calendar picker or type dates directly using DD/MM/YYYY format. The due date can be cleared using the icon when no longer needed. This field is useful for tracking service level agreements, setting internal deadlines, or scheduling follow-up actions. (User-editable)

Important Notes When Using Dates

System Date Integrity: System-generated dates (Created, Updated) cannot be modified to ensure data integrity and accurate audit trails. These timestamps are critical for compliance and reporting purposes.

Due Date Management: The Due Date field is optional and can be cleared at any time. When setting due dates, consider your organisation's service level agreements and typical claim processing times to set realistic deadlines.

Date Format: When manually entering dates, use the DD/MM/YYYY format (e.g., 15/03/2024). The system will validate date entries to ensure they are in the correct format and represent valid calendar dates.

Reporting Capabilities: Date fields are powerful tools for reporting and analysis. Use them to track average resolution times, identify processing bottlenecks, and generate compliance reports. The time difference between Created and Due dates is particularly useful for measuring claim processing efficiency and adherence to service level agreements.

Timezone Considerations: All dates and times are recorded in your organisation's configured timezone. Be aware of timezone differences when collaborating with team members in different locations or when generating reports for stakeholders across time zones.
