Create Compliance

The Create Compliance flow registers audits, licences, certificates, and similar records with the metadata needed for lifecycle tracking and reporting. Teams capture factory, compliance type, optional critical path templates, and key dates so new items are structured correctly from day one. Completing required fields up front makes filtering, task routing, and later reviews far easier.

Creating a new compliance record

Quick Check - Before You Start
  • Confirm Factory, Compliance Type, and optional Critical Path options exist in Site Settings (see the administrator warning on this page).
  • Have Compliance No., Valid From / To, and any Description text ready before opening Add Compliance.
  • Decide whether to attach a Critical Path template at creation for recurring audits or licences.

How to Create a Compliance Record

  1. From the main Compliance page, click the Create button in the top-right corner.
  2. Select Compliance from the dropdown menu.
  3. The Add Compliance pop-up window will appear. Fill in the required details and save.

Fields and Descriptions

Field Description
Compliance No. A unique, free-text identifier for the compliance document or certificate.
Description An optional short summary describing the compliance item (e.g., "Annual Fire Safety Audit 2025").
Factory (Mandatory) The factory or facility this record applies to. Configure in Site Settings › Company › Suppliers.
Valid From / To The date range during which this compliance record is valid.
Compliance Type The category that best fits the record, such as Audit or Licence. Configure in Site Settings › Compliance › Audit Type.
Critical Path (Optional) Apply a pre-defined template of milestone tasks to track the compliance process. Configure templates in Site Settings › Compliance › Critical Path.
Administrator Setup

The options available in the Factory, Compliance Type, and Critical Path fields are configured by your administrator in Site Settings. Ensure these are set up before creating compliance records.

Once a compliance record is created, you can:

  • Complete mandatory fields first: Ensure Factory is selected before saving to avoid validation errors.
  • Use the Critical Path template: For recurring compliance types (e.g., annual audits), apply a template at creation to standardise the workflow from the start.
  • Keep descriptions concise: A clear, short description makes it easier to identify the record when filtering or reporting.

Troubleshooting

Why is Factory or Compliance Type missing from the dropdown?

Lists are maintained in Site Settings; empty dropdowns usually mean configuration is incomplete.

Steps to resolve:

  1. Ask an administrator to add factories under Site Settings > Company > Suppliers.
  2. Confirm audit types under Site Settings > Compliance > Audit Type.
  3. Retry Create > Compliance after Site Settings are saved.
I can’t save a new compliance record—what am I missing?

Factory is mandatory; other validation errors may appear if required fields are blank or dates are invalid.

Steps to resolve:

  1. Select a Factory and enter Compliance No. and date range as required by your site rules.
  2. If Critical Path is required in your process, pick a template configured under Site Settings > Compliance > Critical Path.
Should I apply a Critical Path at creation or later?

You can add a template at creation for standardised milestones, or update the record afterward from Details or the critical path pages.

Steps to resolve:

  1. For recurring audits, choose the template during Add Compliance so tasks appear immediately.
  2. For ad-hoc records, create without a template and link one later via Compliance Details or Manage the Critical Path.
