Duplicate a Compliance Record

The Duplicate action clones an existing compliance record so you can spin up similar audits, renewals, or factory variants without retyping shared metadata. Pre-filled sidebars let you adjust dates, factories, or types while preserving consistent structure. It is ideal for annual certifications or parallel suppliers that share the same compliance pattern. Duplication is especially useful for cloning compliance records for recurring audits or parallel factory programmes where the same framework applies but sites or periods differ. It cuts duplicate data entry when certification types, checklists, or ownership patterns repeat across the portfolio.

These steps outline the process for duplicating a compliance record.

Step Description
Open Record Open the compliance record you wish to copy. Ensure you have the necessary permissions to view and duplicate the record.
Click Duplicate Click the Duplicate button in the sidebar. A pop-up window will appear, pre-filled with information from the original record.
Review Fields Review all pre-filled fields. Update the necessary fields for the new record. Some fields may be locked to ensure data integrity.
Save Click Duplicate to create and save the new compliance record. The new record will be created with a unique identifier.

The duplicate pop-up displays pre-filled fields from the original record. Understanding which fields are editable helps you prepare the new record correctly.

Factory May be locked Ensures the new record is associated with the correct factory. Configure in Site Settings if changes are required.
Compliance Type May be locked Maintains consistency with the original record's compliance type.
Critical Path Editable Options are configured in Site Settings. Ensure these are set up correctly before duplicating.
Manager Editable Options are configured in Site Settings. Assign the appropriate manager for the new record.
Dates Editable Update the date range for the new compliance period.
Other Fields Varies Review each field to determine what requires updating for the new record.

Administrator Configuration

The options available in fields like Critical Path and Manager are configured in Site Settings. Ensure these are set up correctly before duplicating to avoid errors. If a required option is missing, contact your administrator.

Best Practices

Create Template Records: Create a "template" compliance record for each common audit or certification you perform. Leave it in a Draft status and fill it with all the standard information. When you need to start a new audit, simply duplicate this template.

Check All Fields Before Saving: Before clicking Duplicate, double-check all the pre-filled fields to ensure they are still relevant for the new record, especially dates and assigned managers.

Use for Annual Renewals: The duplicate function is ideal for annual renewals. Open last year's record, duplicate it, and update the date range for the new year.
