Component Duplicate

The Duplicate feature allows you to create a new component by copying the information from an existing one. This tool helps maintain data consistency and significantly reduces manual entry when managing similar components. It suits cloning a component when you introduce a variant material—such as an alternate colourway, width, or supplier pack size—while keeping baseline specifications aligned.

Duplication is particularly useful when you need to create multiple components that share similar attributes, such as specifications, types, or materials. It streamlines the process of adding new items and ensures that standardised field values are used across related records.

Core Actions

These actions are available to users with access to the component record and allow you to create a copy of an existing component.

Feature Description
Initiate Duplicate Click the Duplicate button in the sidebar of the component you wish to copy. A pop-up window will appear, allowing you to modify any necessary fields before creating the copy. (Available to users with component edit access)
Modify Before Saving Review and update any fields in the pop-up window before confirming. This includes component number, description, and other attributes that may need to differ from the source component. (Available to users with component edit access)
Confirm Duplicate Click Duplicate in the pop-up to save the new component. The new record will be created with the modified values and any data carried over from the source component. (Available to users with component edit access)

Duplicate Behaviour

The following describes what happens when you duplicate a component and what data is carried over.

Feature Description
Field Values Most field values from the source component are copied to the new record, including specifications, types, materials, and custom fields. You can modify these in the pop-up before saving.
Supplier and Costing Data Supplier and costing information may be carried over from the source component. Always verify that this data is correct for the new component or update it accordingly to ensure accurate procurement and financial tracking.
Unique Identification After duplicating, assign a new, unique Component No. and update the Description immediately. This prevents accidental duplicates and ensures the new component can be easily identified in searches and reports.

Dropdown fields like Component Type are managed in Site Settings. Ensure these options are correctly configured by your administrator to support your duplication workflows.

Best Practices

Create "Master" Templates: For frequently used materials, create a "master" or "template" component with all the standard, non-negotiable fields pre-filled. Users can then duplicate this master template, which ensures maximum consistency and reduces the risk of errors.

Immediately Assign a Unique ID: After duplicating a component, make it a priority to immediately assign a new, unique Component No. and update the Description. This prevents accidental duplicates and ensures the new component can be easily identified in searches and reports.

Verify Supplier and Costing Data: The duplicate function may carry over supplier and costing information. Always verify that this data is correct for the new component or update it accordingly to ensure accurate procurement and financial tracking.
