Create a License
The Create License flow enables users to add new licensing agreements to the system. Whether you are tracking a brand partnership, designer agreement, or royalty arrangement, the creation process guides you through entering the essential contractual details so the license can be managed, categorised, and monitored effectively throughout its lifecycle.
Creating a license is the first step in establishing traceability for agreements with licensors, brands, and other partners. Authorised users use this flow to register new license contracts and capture key metadata such as contract numbers, licensor details, and validity dates.
By capturing the required fields at creation, teams ensure that new records are properly structured from the outset, making it easier to track royalty rates, link products or media, and maintain compliance with contractual obligations.

- You can create licenses from the License hub with the appropriate role
- Licensor and License type masters must exist before the dropdowns populate
- Have the signed Contract Number and Dates ready to match legal records
How to Create a License
- From the main License page, click the Create button in the top-right corner.
- Select License from the dropdown menu.
- The Add License pop-up window will appear. Fill in the required details and save.
Fields and Descriptions

Master data has not been created or is disabled in Site Settings.

Why was my contract number rejected as duplicate?
Contract Number must be unique for traceability.
Steps to resolve:
- Search existing licenses for the same identifier
- Use the amendment process your organisation defines instead of creating a second primary record
Why do dates not match the legal PDF?
Time zones or partial dates can differ from the signed document.
Steps to resolve:
- Re-enter the effective dates exactly as legal approved
- Attach or reference the signed PDF from License Items if your workflow supports it
