Details

The Details section within the License module enables users to capture and maintain the contractual and financial terms of each licensing agreement. These fields provide a structured way to track licensor relationships, cost allocations, and minimum obligations effectively throughout the licence lifecycle.

The Details section is where authorised users enter and maintain critical information for each licence contract. Most fields are editable, depending on user permissions, and support accurate costing calculations, audit reports, and operational consistency.

By managing these fields centrally, teams can standardise how licence contracts are identified and categorised, improve traceability across licensors and agreements, and ensure that key metadata is always up-to-date for compliance and reporting.

Fields and Descriptions

Field Description
Contract No. A unique identifier for each licence contract. Crucial for traceability and auditing.
Description A short label for the licence agreement (e.g., collection, season, or campaign name).
License The selected licence being granted or used. Pulled from the master licence list.
Licensor The external party providing the licence. Options come from the system's licensor directory.
Marketing % The portion of revenue or cost allocated to marketing efforts. Used in costing workflows.
CMF % CMF (Creative Marketing Fund) percentage linked to this agreement. Reported in cost summaries.
Minimum $ The guaranteed minimum financial obligation for the contract. May reflect fixed or target amounts.
Field behaviour
  • Percentage and monetary fields support up to two decimal places.
  • Negative values are not accepted.
  • All dropdowns (e.g., License, Licensor) are synced with master data for consistency.

Troubleshooting

Why won’t the system save my percentage change?

Values may exceed two decimals or use a negative number.

Steps to resolve:

  1. Round to two decimal places
  2. Enter zero instead of negatives where the field requires a positive allocation
Why is the License or Licensor dropdown wrong?

Dropdowns sync with Site Settings masters.

Steps to resolve:

  1. Update Site Settings › Style › Licensor or Site Settings › License › General Settings
  2. Refresh the license record after master data changes
Why do costing summaries disagree with this screen?

Downstream calculations may use cached rates or additional royalties.

Steps to resolve:

  1. Compare License Details with License Royalties
  2. Recalculate or reopen costings after financial fields change
