Import New Orders
The Import Order function allows users to upload multiple new orders at once using a pre-formatted Excel template. This tool is accessed via the left-side navigation and is available only to users with the appropriate permissions.
This feature simplifies the process of creating orders in bulk. It is particularly helpful for merchandising or production teams managing large volumes of customer orders across multiple styles, colours, and sizes.
Quick Check - Before You Start
- You have create permission for orders (or the Import Order option will not appear).
- You will use the Import Template downloaded from the Import Order window, not an older saved copy.
- Dropdown values in the file (for example Customer, Department, Shipping Method, and Factory) match Site Settings exactly.
Steps to Import

| 2 | In the popup, click the link to download the Import Template spreadsheet. |
| 3 | Open the spreadsheet and fill in all required fields. Note: Ensure all dropdown values match those configured in Site Settings (e.g., Customer, Department, Shipping Method, and Factory). |
| 4 | Return to the pop-up, upload the completed file, and click Next. |
| 5 | Review the uploaded data in the Preview Window. |
| 6 | Click Yes to confirm and begin the import process. |
| 7 | Once the import completes, download the Import Summary to review success and error logs. |

Permissions Required
This feature is only available to users with create permissions for orders. If you do not see this option, contact your system administrator.
Helpful information
- Order creation supports size-level pricing and multi-line entries for bulk colourways or SKUs.
- Make sure all reference data (e.g., styles, customers, sizes, prices) are correctly configured prior to import.

Why does the Import Order option not appear in the menu?
The feature is restricted by permissions. Users without create permission for orders cannot access import.
Steps to resolve:
- Ask your administrator to confirm your role includes order create access.
- After permissions change, sign out and back in if the menu does not refresh.
Why do rows fail validation during preview or import?
Values in the spreadsheet often do not match Site Settings or master data (customers, departments, shipping methods, factories, currencies, etc.).
Steps to resolve:
- Open Site Settings and compare each dropdown column to the configured lists.
- Correct spelling, spacing, and casing so entries match the system exactly.
- Re-upload the file and use the Import Summary to see per-row error detail.
The import ran but I am unsure which orders were created—where do I look?
Success and failure are listed in the Import Summary downloaded after the import finishes.
Steps to resolve:
- Download the Import Summary from the completed import flow.
- Review success rows and error messages for any failed lines.
- Fix data for failed rows and import again if needed.
