Shipping
The Shipping section of the Order application captures essential logistics and transportation data for each order. These fields ensure accurate handling, tracking, and delivery of shipments to their intended destinations.
This section is typically completed during or after the order creation process and provides visibility into shipping arrangements, freight tracking, and warehouse origin. Accurate completion of this section facilitates smooth logistics coordination and enables effective downstream reporting.
Quick Check - Before You Start
- Confirm Origin, Destination, Shipping Method, Freight Status, and Warehouse values exist in Site Settings where your organisation uses central lists.
- If you rely on automatic ETA or In Store updates when changing Origin, verify offsets are configured for that origin in Site Settings.
Fields and Descriptions
| Field | Description |
|---|---|
| Origin | The country or location from which the goods are shipped. This is typically the manufacturing country or dispatch point and is used for logistics planning, customs documentation, and reporting. Note: When editing the Origin, a pop-up prompting to "Automatically update ETA and In Store" will only appear if the selected Origin has been configured with offset values in Site Settings > Shipping > Origin. |
| Destination | The final delivery location or destination country for the shipment. This field supports freight routing, landed cost calculations, and delivery tracking. |
| Shipping Method | The selected mode of transport, such as Sea, Air, or Courier. Shipping methods are centrally maintained in Site Settings > Shipping > Shipping Method and may influence lead times, costs, and availability of tracking details. |
| Freight Status | Indicates the current state of the shipment (e.g., Booked, In Transit, Delivered). This field is updated as the shipment progresses and provides visibility into logistics timelines and exceptions, as configured in Site Settings > Shipping > Freight Method. |
| Vessel | The name of the vessel, airline, courier service, or transportation carrier used for the shipment, where applicable. This information supports tracking and freight reference. |
| Warehouse | The warehouse from which the goods are dispatched. Warehouses are defined in Site Settings > Shipping > Warehouse and this field helps identify stock origin, fulfilment responsibility, and inventory movement. |
Administrator Configuration Required
Dropdown values for Customer, Shipping Method, Warehouse, and Freight Status are managed in their respective Site Settings. Administrators should ensure these values are correctly configured before orders are processed.

Helpful Tips
- Maintain consistency: Use standardised shipping methods and destinations that align with both your internal logistics procedures and customer requirements to ensure accurate reporting and reduce errors.
- Regular maintenance: Periodically review and update shipping-related dropdown values in Site Settings to reflect current carriers, methods, and freight statuses, removing obsolete options and adding new ones as needed.
- Complete data entry: Populate all shipping fields at the time of order creation to enable comprehensive freight tracking, accurate delivery estimates, and reliable logistics reporting throughout the order lifecycle.

Troubleshooting
I changed Origin but no pop-up offered to update ETA and In Store—why?
The prompt appears only when the selected Origin has offset values configured in Site Settings > Shipping > Origin.
What to do: Ask an administrator to configure origin offsets, or update ETA and In Store manually on the order if your process allows it.
Why are shipping dropdowns empty or missing expected values?
Shipping Method, Warehouse, Freight Status, and related lists are maintained in Site Settings.
Steps to resolve:
- Review Shipping Method, Warehouse, and Freight Status.
- Add or re-enable the values your team expects to select on orders.
