Forms
The Forms section of the Order application allows you to manage documents such as internal templates, checklists and signed agreements related to the order. It provides a centralised location for important form-based files, supporting internal workflows and documentation compliance.
Each order may have one or more associated forms. These are displayed in a list with columns for Name and Size, giving you a quick way to view, manage and maintain form documentation in one place. Order-specific forms capture structured sign-offs, checklists, or compliance templates your organisation requires before gates such as production release or shipment. Templates maintained in Site Settings keep wording and layout consistent across orders.
Quick Check - Before You Start
- Confirm templates exist in Site Settings > Order > Forms; the add list only shows configured templates.
- You need permission to add or delete forms on the order.
Available Columns

Add Forms
To attach a new form to an order:

| 4 | Click Add to confirm and upload them to the order. |

Delete Forms
Single Delete
| Step | Action |
|---|---|
| 1 | Tick the checkbox next to the Name column. |
| 2 | In the action bar, click Delete to delete the form. |

Bulk Delete

| 1 | Click the checkboxes to select multiple forms. |
| 2 | Click Delete in the action bar. |
| 3 | Confirm the deletion when prompted. |

Tip
- Use clear, order-specific names: Include the order number and purpose (for example, SO1234 – Site Safety Checklist) so forms are easy to recognise in long lists.
- Attach key forms early: Add required checklists and approval forms when the order is created to avoid delays later in the process.
- Regularly review and retire templates: Remove or update outdated templates in your library so users always select the current, approved versions.

Troubleshooting
Why is the template list empty when I click Add?
Templates are defined in Site Settings > Order > Forms. Until administrators publish templates, there is nothing to attach.
Why can I not rename a form file on the order?
Forms are download-only in this view; the name comes from the uploaded template instance. Replace the form by deleting it and adding the correct template if your permissions allow.
How do I remove several outdated forms at once?
Select multiple rows with the checkboxes, click Delete in the action bar, and confirm the prompt—the same flow as bulk delete in this page’s steps.
