Update Existing Shipments
The Import Shipment flow updates existing shipment records in bulk using the same template as new imports, which suits simultaneous changes to dates, freight status, container details, and related fields. Each row must include the correct Shipment Number so the system targets the right record. Only columns you populate are overwritten; blank cells leave existing values unchanged.
Quick Check - Before You Start
- Each row includes the correct Shipment Number for an existing shipment.
- Only columns you want to change contain values; leave the rest blank to avoid overwriting.
- If you need dates or freight status pushed to linked orders, plan values for Update Order ETD, Update Order ETA, and Update Order Freight Status where applicable.
Steps to Update
| Step | Description |
|---|---|
| 1 | Download a new copy of the Import Template from the Import Shipment window. |
| 2 | In the template, populate the Shipment Number column with the numbers of the shipments you wish to update. This field is mandatory for the system to identify the correct records. |
| 3 | Fill in only the columns for the fields you want to change. Leave all other columns blank to ensure existing data in those fields is not overwritten. |
| 4 | Upload the completed file via the Import Shipment window. |
| 5 | Carefully review the data in the preview screen to confirm your changes are correct, then click Yes to start the update. |
| 6 | Download and check the summary file to confirm the updates were successful and to identify if there are any errors. |
Partial Updates Only
Only columns containing data in your import file will be updated. Any columns left blank will be ignored, and the existing data in those fields will remain unchanged.
Helpful information
- Verify
Shipment Numbers: Double-check that theShipment Numberin your file exactly matches the records in the system. An incorrect number will cause the update for that row to fail. - Isolate Your Updates: To avoid accidental changes, create a new import file containing only the
Shipment Numberand the specific columns you need to update. This minimises the risk of altering other data. - Use
Update OrderFields for Cascading Changes: To apply date or status changes from the shipment to all its associated orders, enterYesin theUpdate Order ETD,Update Order ETA, orUpdate Order Freight Statuscolumns.

Troubleshooting
Why did some shipment rows not update?
The row must match an existing Shipment Number. Wrong numbers or validation errors on populated columns leave that line unchanged or in error.
Steps to resolve:
- Copy Shipment Number values from the live shipment list or a reliable export.
- Download the summary after import and fix rows listed as failed.
- Re-import the corrected rows.
I updated the shipment but linked orders still show old ETD/ETA/Freight Status—why?
Changing shipment fields alone does not always cascade to orders unless the Update Order columns are set to Yes.
Steps to resolve:
- Add Yes to
Update Order ETD,Update Order ETA, orUpdate Order Freight Statusas needed for your change. - Include Shipment Number and only the shipment fields you are changing.
- Confirm in the summary file that the run succeeded, then verify a sample order.
Can I remove an order from a shipment through import?
Assigned orders cannot be unassigned via import.
Steps to resolve:
- Use in-app shipment tools for assignment changes if your process allows.
- Avoid expecting Assigned Order or blank cells to reverse a prior Yes assignment.
- Review Import Fields and Rules for fields that support partial updates.
