AI Prompts
The AI Prompts section provides a centralised directory for managing all AI-generated prompts used across the platform. This area is essential for maintaining consistency, accuracy, and quality in AI-assisted outputs throughout your organisation.

AI prompts are the predefined instructions that guide how the platform's AI generates content across different applications—such as product descriptions, style suggestions, and other AI-assisted features. Each prompt controls the tone, structure, and behaviour of the AI output for a specific use case.
By managing these centrally, teams can maintain standardised prompts across applications, review and refine prompts for better AI performance, and ensure organisational alignment in tone, structure, and output expectations. This configuration gives you full visibility and control over the prompts that drive AI-generated content.
The AI Prompts table includes the following columns:

Quick Check - Before You Start
- Know which Application each row drives before editing text so you do not change the wrong workflow.
- Only the Prompt field is editable—plan wording changes without expecting to rename the application here.
- After saving, run a real generation in the target module to validate tone, length, and compliance with brand rules.
Managing AI Prompts
Edit Prompt
To modify an AI prompt:
- Click the pen icon under the Actions column next to the prompt you'd like to modify.
- In the AI Prompts pop-up, edit the Prompt field to refine how the AI generates content for the specific application.
- Click Save to apply your changes, or Cancel to discard them.
In the edit pop-up you can:
- Edit the Prompt — Modify the AI prompt text to refine how the AI generates content for the specific application.
- View Application — The application name is displayed for reference but cannot be edited.
- View Description — The description field shows contextual information about the prompt's purpose but cannot be modified.

Editing restrictions
Only the Prompt field is editable. The Application and Description fields are read-only and cannot be changed.
Other Actions
- History — Export a detailed log of prompt changes and version history for auditing purposes.

- Export — Download the complete list of prompts in
.xlsxformat.
Table Flexibility
Users can tailor the table layout using the following controls:

| Pin Column | Lock important columns in place whilst scrolling. |
| Autosize This Column | Automatically resize the specific column to fit its content. |

| Choose Columns | Show or hide individual table columns. |
| Reset Columns | Return the table to the default configuration. |

Tip
- Keep prompts clear and specific to improve AI output quality and reduce ambiguity.
- Test AI-generated content after updating prompts to ensure the changes produce the desired results.
- Use the History export for periodic audits of prompt changes to support compliance and traceability.
- Align prompt tone and structure with your organisation's brand guidelines to maintain consistency across all AI-assisted outputs.
- Document prompt changes and their rationale to help team members understand the evolution of AI behaviour across the platform.
Troubleshooting
Why are Application and Description greyed out?
Those attributes identify the integration point and are locked to prevent breaking downstream automation.
Steps to resolve:
- Edit only the Prompt body text.
- If the application name is wrong, raise a configuration change with your platform admin—do not expect to edit it here.
Why did AI output not change after I saved?
Cached sessions, draft records, or a different environment may still use the previous prompt until a new generation runs.
Steps to resolve:
- Hard refresh the browser and trigger a brand-new AI action in the target module.
- Compare History to confirm your save timestamp matches the attempt.
How do I roll back a bad prompt edit?
Use History exports or your internal documentation practice.
Steps to resolve:
- Download History and copy the prior prompt text.
- Paste it back into Prompt and Save, then retest output quality.
