Barcode

The Barcode section enables users to define and manage unique barcode ranges for product identification across the platform. These ranges are integral to traceability, inventory control, and ensuring system-wide consistency in product handling.

Barcode ranges represent assigned sequences of identifiers used for products—such as batches, orders, or stock items. By managing these centrally, teams can ensure uniqueness, accuracy, and consistency across all product-related operations.

The Barcode section allows you to create and maintain a set of ranges that can be used across the platform. Once a barcode from a range is in use, that range is locked to preserve historical and transactional data integrity.

Quick Check - Before You Start
  • Confirm Prefix length (2 or 3 digits) and matching Company length (5 digits for a 2-digit prefix, 4 for a 3-digit prefix).
  • Plan From and To as five-digit ends of the range so you do not overlap existing rows.
  • Remember that once barcodes from a range are In Use, that range locks for edit and delete.

Managing Barcode Ranges

Add Barcode Range

  1. Click the Add New button at the top left.
  2. Complete the required fields in the pop-up form:
  3. Prefix: A 2- or 3-digit code.
  4. Company: A 5-digit code (if the prefix is 2 digits) or a 4-digit code (if the prefix is 3 digits).
  5. From: The 5-digit starting number of the barcode range.
  6. To: The 5-digit ending number of the barcode range.
  7. Click Save to add the new range to the list.

  1. Click the pen icon next to the barcode range you'd like to modify.
  2. Make the required updates in the pop-up window.
  3. Click Save to apply the changes.

Editing Locked Ranges

Barcode ranges that are already in use cannot be edited. This restriction is in place to maintain the integrity of associated product and order data.

  • Single delete: Click the trashcan icon next to a barcode range and confirm the deletion.

  • Bulk delete: Use checkboxes to select multiple barcode ranges, then click the main delete icon that appears and confirm deletion.

Barcode ranges that are in use cannot be deleted.

Other Actions

  • Filter – Toggle the view between In Use and Not In Use barcode ranges. Filter
  • History – Export a detailed log of barcode range changes and version history for auditing purposes. History
  • Export – Download the complete list of barcode ranges in .xlsx format. Export

Table Flexibility

Users can tailor the table layout using the following controls:

Feature Description
Sort by Ascending or Descending Reorder barcode ranges by clicking on any column header.
Pin Column Lock important columns in place while scrolling.
Autosize This Column Automatically resize the specific column to fit its content.
Autosize All Columns Applies autosizing on all columns.
Choose Columns Show or hide individual table columns.
Reset Columns Return the table to the default configuration.

Customisable Table

Tip

  • Establish a clear, documented strategy before creating new barcode ranges. Consider segmenting ranges by product category, season, or supplier to simplify future management and reporting.
  • Use the History export for periodic audits of your barcode ranges. This helps ensure compliance with internal policies and provides a clear, time-stamped record of all administrative actions for accountability.
  • Regularly use the Not In Use filter to identify and delete obsolete or incorrectly created barcode ranges. Keeping your list clean prevents accidental assignment of incorrect ranges and makes it easier for users to find valid ones.
  • Document range purposes and associated products to help team members understand their use across the platform.

Troubleshooting

Why is the pen icon disabled or save blocked for a range?

Ranges that are In Use cannot be edited so issued barcodes stay stable.

Steps to resolve:

  1. Use Filter to confirm the row shows In Use.
  2. Add a new Not In Use range for future product instead of altering the locked row.
Why can I not delete a barcode range?

Active or historical use ties products and orders to numbers in that range.

Steps to resolve:

  1. Check Filter for In Use; if in use, deletion is blocked.
  2. Retain the row for audit and create a separate range for corrected numbering if your governance allows.
Why was my Company code rejected or inconsistent?

The Company segment length must match the Prefix length rule described on the form.

Steps to resolve:

  1. Re-read the Prefix and Company field hints in Add New.
  2. Adjust to 5 digits when the prefix is 2 characters, or 4 digits when the prefix is 3 characters, then save again.
