Currency
The Currency section enables users to define and manage the currencies used for all financial transactions across the platform. This configuration is essential for accurate costing, order processing, and financial reporting.

Currencies represent the monetary units—such as AUD, USD, or EUR—that your organisation uses for pricing, claims, and orders. By managing these centrally, teams can standardise financial transactions, costing calculations, and reporting across all procurement-related activities.
Currencies configured here are made available throughout the platform in modules such as claims, costing, and orders. Administrators can enable, disable, or remove currencies to align with operational requirements and simplify user workflows.

Quick Check - Before You Start
- Confirm you have access to Site Settings › Company › Currency.
- List the currencies you need for costing, orders, and claims before adding them from the dropdown.
- If retiring a currency, plan to Disable it rather than delete when it has been used in any transaction.
Managing Currency
Add Currency
- Click the Add New button at the top left.
- Select the desired currency from the dropdown list.
- Click Save to add the currency to the system.
Edit Currency
- Click the pen icon next to the currency you'd like to modify.
- In the pop-up window, toggle the status between Enabled or Disabled.
- Click Save to apply the changes.
Note
You cannot edit the Code, Description, and Symbol fields.
Delete Currency
- Single delete: Click the trashcan icon next to a currency and confirm the deletion.
- Bulk delete: Use checkboxes to select multiple currencies, then click the main delete icon that appears and confirm deletion.

Deleting Used Currencies
A currency that has been used in any transaction cannot be deleted. Instead, set its status to Disabled to preserve data integrity.
Disable Currency
If a currency is no longer active but needs to be retained for historical data, change its status from Enabled to Disabled.
Other Actions
- Filter – View currencies by status (Enabled or Disabled).

- History – Export a detailed log of currency changes and version history for auditing purposes.

- Export – Download the complete list of currencies in
.xlsxformat.
Table Flexibility
Users can tailor the table layout using the following controls:

Tip
- Keep only operationally relevant currencies enabled to simplify dropdown menus in transactional forms and reduce the risk of errors.
- Disable unused currencies instead of deleting them to retain historical context and maintain audit trails.
- Use exports for financial reviews and audits to track currency usage and costing alignment.
- Regularly review the currency list to ensure it aligns with current operations and regional requirements.
- Use the History feature to periodically audit currency configurations and track changes for data governance.
Troubleshooting
Why can I not delete a currency?
Currencies that have been used in any transaction are protected so historical financial records stay valid.
Steps to resolve:
- Open Site Settings › Company › Currency.
- Click the pen icon for that currency and set its status to Disabled.
- Use Filter to confirm it no longer appears where only enabled currencies are offered.
Why are Code, Description, and Symbol not editable?
Those attributes are fixed when the currency is added so existing references and reporting stay consistent.
Steps to resolve:
- If the wrong currency was added, Disable the incorrect row and add the correct currency from Add New.
- Use History or Export to document the change for audit if required.
Why does a currency still appear on old records after I disabled it?
Disabling stops new use; past transactions and reports still show the currency that was valid at the time.
Steps to resolve:
- Confirm the row is Disabled in the currency list.
- For new entries, pick an enabled currency from the dropdown; re-open any in-progress drafts that still reference the old value if your workflow allows.
