Audit Code

The Audit Code section enables users to define and manage audit identifiers that are used to classify and track audit records across the platform. These codes help standardise tracking, reporting, and compliance workflows.

Audit codes represent specific identifiers linked to compliance frameworks, regulatory requirements, or internal tracking schemes. By managing these centrally, organisations can ensure consistent application of audit classifications and improve traceability across all audit activities.

The Audit Code section allows you to create a standardised set of audit identifiers that can be applied to compliance records, risk assessments, and audit trails throughout the platform. These codes help ensure that audit activities are properly categorised and provide visibility into compliance status and audit history.

Quick Check - Before You Start
  • You can edit Site Settings › Compliance › Audit Code
  • Align Code values with your QMS or regulatory matrix before go-live
  • Prefer Disable for retired codes that still appear on historical audits

Managing Audit Codes

Add Audit Code

  1. Click the Add New button at the top left.
  2. Enter the audit code details in the required fields, including:
  3. Code – The unique identifier for the audit code
  4. Description – A clear description of the audit code's purpose
  5. Status – Enable or disable the audit code
  6. Click Save to add the audit code to the compliance system.

  1. Click the pen icon next to the audit code you'd like to modify.
  2. Make the required updates to the code details, description, or status.
  3. Click Save to apply the changes.

Common Pitfall

Deleting codes breaks traceability on existing compliance records. Disable when auditors still need to read legacy classifications.

  • Single delete: Click the trashcan icon next to an audit code and confirm the deletion.

  • Filter – View audit codes by status (Enabled or Disabled). Filter
  • History – Export a detailed log of audit code changes and version history for auditing purposes. History
  • Export – Download the complete list of audit codes in .xlsx format. Export

Table Flexibility

Users can tailor the table layout using the following controls:

Sort by Ascending or Descending Reorder audit codes by Code, Description, or Status.
Pin Column Lock important columns in place while scrolling.
Autosize This Column Automatically resize the specific column to fit its content.
Autosize All Columns Applies autosizing on all columns.
Choose Columns Show or hide individual table columns.
Reset Columns Return the table to the default configuration.

  • Use clear and consistent naming conventions for audit codes to make them easy to identify and apply across different compliance records.
  • Align audit codes with recognised compliance frameworks (e.g., ISO 9001, AS/NZS standards) to ensure consistency with external audit requirements.
  • Archive or disable unused audit codes instead of deleting them to retain historical context and maintain audit trails.
  • Regularly export the audit history log for compliance reviews and external audits.
  • Document the purpose and application of each audit code to help team members understand when and how to use them.
  • Review and update audit codes periodically to ensure they remain aligned with current regulatory requirements and organisational standards.
  • Use exports for quarterly compliance reviews to track audit code usage patterns and identify areas for improvement.

Troubleshooting

Why is an audit code missing from dropdowns?

It is likely Disabled or filtered out.

Steps to resolve:

  1. Open Site Settings › Compliance › Audit Code
  2. Use Filter to show Disabled and enable if it should be selectable
Why do reports show two codes for the same requirement?

Duplicate Code or Description pairs behave as separate values.

  2. Disable duplicates after migrating records
