Auditor

The Auditor section enables users to define and manage individuals or organisations that are responsible for conducting audits across the platform. These records provide a structured way to assign accountability, track audit activities, and maintain compliance oversight.

Auditors represent the qualified individuals, teams, or external organisations authorised to perform compliance assessments and audits. By managing auditors centrally, teams can standardise processes, improve visibility, and control who may perform assessments across all compliance records.

The Auditor section allows you to create a consistent list of approved auditors that can be assigned to compliance activities, audit types, and compliance records. This ensures that only certified and authorised parties are conducting critical compliance assessments, while providing full traceability and accountability.

Quick Check - Before You Start
  • You can edit Site Settings › Compliance › Auditor
  • Confirm each entry matches a currently accredited person or firm
  • Disable leavers or expired contracts instead of deleting when audits still cite them

Managing Auditors

Add Auditor

  1. Click the Add New button at the top left.
  2. Enter the auditor name or organisation in the required field.
  3. Click Save to add the auditor to the compliance system.

  1. Click the pen icon next to the auditor you'd like to modify.
  2. Make the required updates to the auditor name or organisation details.
  3. Click Save to apply the changes.

Common Pitfall

Deleting auditors obscures who performed historical assessments. Disable when they should no longer be assigned but must remain on closed records.

  • Single delete: Click the trashcan icon next to an auditor and confirm the deletion.

  • Bulk delete: Use checkboxes to select multiple auditors, then confirm deletion.

Other Actions

  • Filter – View auditors by status (Enabled or Disabled). Filter
  • History – Export a detailed log of auditor changes and version history for auditing purposes. History
  • Export – Download the complete list of auditors in .xlsx format. Export

Table Flexibility

Users can tailor the table layout using the following controls:

Sort by Ascending or Descending Reorder auditors by Name, Organisation, or Status.
Pin Column Lock important columns in place while scrolling.
Autosize This Column Automatically resize the specific column to fit their content.
Autosize All Columns Applies autosizing on all columns.
Choose Columns Show or hide individual table columns.
Reset Columns Return the table to the default configuration.

Tips
  • Only assign certified external partners or vetted internal teams to maintain audit integrity and compliance standards.
  • Use clear naming conventions to distinguish between internal auditors and external organisations.
  • Archive or disable auditors who are no longer active instead of deleting them to retain historical audit records and maintain audit trails.
  • Regularly review and update auditor credentials to ensure all assigned auditors maintain current certifications and qualifications.
  • Use history logs to track auditor performance, audit scope changes, and assignment patterns over time.
  • Export auditor lists regularly for compliance reporting and external audit requirements.
  • Document auditor specialisations or areas of expertise in the organisation field to facilitate proper assignment to relevant audit types.

Troubleshooting

Why can’t I pick an auditor on a new audit?

The auditor may be Disabled or not yet created.

Steps to resolve:

  1. Open Site Settings › Compliance › Auditor
  2. Enable the record or add the new firm, then retry the assignment
Why do reports list the same firm twice?

Slight spelling differences create duplicate master rows.

Steps to resolve:

  1. Export the list and agree a canonical spelling with compliance
  2. Disable the duplicate after reassigning open work
How do I prove an auditor was approved at the time of an audit?
