Activities

The Activities section enables users to define and manage workflow milestones for the style development process. Activities are essential for standardising tasks, improving visibility, and ensuring accountability across design, development, and production teams.

Each activity represents a key milestone in a style's lifecycle (e.g., Initial Sketch Review, Lab Dip Approval, Fit Sample Submission) and serves as a checkpoint within the style's critical path. These assignments help structure reporting, assignments, and compliance tracking.

The Activities section allows you to create a consistent set of workflow milestones that can be assigned and tracked across style records. These activities help ensure that responsibility is clearly defined and provide visibility into progress by development stage.

Add Activity

  1. Click the Add New button at the top left.
  2. Enter the Description, Group, Condition, and Notes (see Configuring Activity Fields).
  3. Click Save to add the activity.

Configuring Activity Fields

When adding or editing an activity, the form includes the following fields:

Field Description Example
Description The activity name or label that identifies the milestone. This appears throughout the system wherever the activity is displayed. Lab Dip Approval, Fit Sample Submission
Group The team or department responsible for the activity (e.g., Sales, Product Development, QA). Groups organise activities in the Critical Path and ensure clear accountability. Design, Sampling, Production
Condition Determines when the activity appears for a specific style. Conditions reference attributes from Style > Definition (e.g., brand, category), so the activity only shows when relevant data is present. Definition > Branding, Definition > Category
Notes Options that control what appears in the activity comment interface: Note (add a note), Approval, Rejection, and Date. When disabled, the corresponding button or field is hidden from users in the Critical Path. See Site Settings > Style > Critical Path > Scenarios for Critical Path for how each option affects the UI.

Configuring Notes Options

The Note, Approval, Rejection, and Date options within the Notes configuration control the Critical Path activity interface. When disabled, the related buttons or date picker are hidden from users. See Scenarios for Critical Path for details.

  1. Click the pen icon next to the activity you'd like to modify.
  2. Make the required updates to the activity name or associated settings.
  3. Click Save to apply the changes.

Common Pitfall

Deleting an activity removes it from the master list. Existing style critical paths that reference it may lose consistency with your documentation; prefer Disable when you need to retire a milestone but keep history.

  • Single delete: Click the trashcan icon next to an activity and confirm the deletion.

Other Actions

  • Filter – View activities by Status (Enabled or Disabled). Filter
  • History – Export a detailed log of activity changes and version history for auditing purposes. History
  • Export – Download the complete list of activities in .xlsx format. Export

Table Flexibility

Users can tailor the table layout using the following controls:

Sort by Ascending or Descending Reorder activities alphabetically, by sequence, or by creation date.
Pin Column Lock important columns in place while scrolling.
Autosize This Column Automatically resize the specific column to fit its content.
Autosize All Columns Applies autosizing on all columns.
Choose Columns Show or hide individual table columns.
Reset Columns Return the table to the default configuration.

Where Activities Are Used

Activities defined in this section are used across the system to structure workflows, assign responsibility, and track milestones. The following areas consume activities configured here:

Style > Critical Path Activities populate Critical Path templates and appear on individual style records. Each activity displays its Group, Due date, and comment actions (Note, Approval, Rejection) based on the configuration set here. Site Settings > Style > Critical Path When creating or editing Critical Path templates, administrators add activities from the master list defined in this section. Configure Before Use

Define your activities in this section before adding them to Critical Path templates. Activities created here become available when configuring templates in Site Settings > Style > Critical Path and when viewing the Style > Critical Path tab on style records.

Tips
  • Use the Sort Order field with a clear numbering system (e.g., 10, 20, 30) to define the logical sequence of your critical path and enforce workflow order.
  • Name related activities with a consistent prefix (e.g., "Design:", "Sampling:", "Production:") to group them visually and make your workflow easier to navigate.
  • Disable unused activities instead of deleting them to retain historical context and maintain audit trails.
  • Export activity history to support audits or organisational reviews.
  • Regularly review activity lists to ensure they align with current business processes and critical path requirements.
  • Document activity purposes and responsibilities to help team members understand workflow checkpoints.

Troubleshooting

Why does an activity not appear on a style Critical Path?

Activities can be limited by Condition, which references Style › Definition attributes (for example brand or category). If the style does not meet the condition, the activity is hidden.

Steps to resolve:

  1. Open Site Settings › Style › Activities and edit the activity
  2. Review the Condition and compare it to the style’s Definition fields
  3. Adjust the condition or the style definition so they align
Why are Note, Approval, or Rejection missing on the Critical Path?

Those controls are driven by the Notes options configured on each activity. If an option is turned off, the related button or date control is hidden in the Critical Path UI.

Steps to resolve:

  1. Edit the activity in Site Settings › Style › Activities
  2. Enable the required Notes options (Note, Approval, Rejection, Date) as needed

Why is my activity list hard to use in templates?

Long unstructured lists make Critical Path template building slow and error prone.

Steps to resolve:

  1. Use a numeric Sort Order and consistent prefixes in Description (for example Design:, Sampling:)
  2. Use Filter to work with Enabled items only while configuring templates
  3. Export History or the table when you need to review changes with operations or compliance
