Definition Tags
The Definition Tags section allows you to create and manage colour-coded labels that can be applied to style definitions. These tags serve as visual cues to help categorise, prioritise, or flag styles for internal tracking and team collaboration.
Each tag consists of a description and an assigned colour, making it easy to identify specific attributes at a glance (e.g., 'High Priority', 'On Hold', 'Requires Review'). These tags are for internal use only and do not affect external product data, but they significantly improve visual management within the platform.
Quick Check - Before You Start
- You can edit Site Settings › Style › Definition Tags
- Limit how many colours and labels you introduce so teams can scan styles quickly
- Agree what each colour means (for example red = blocked, green = approved)
Managing Definition Tags
You can easily add, edit, and delete tags to build a classification system that suits your workflow.
Add a Definition Tag
- Click the Add New button at the top left.
- Enter a Description and select a Colour.
- Click Save to create the tag.
Edit a Definition Tag
- Click the pencil icon next to a tag to update its description or colour.
- Make your changes and click Save to confirm.
Delete Definition Tags
- Single Delete: Click the trash can icon next to the tag and confirm the action.
- Bulk Delete: Use the checkboxes to select multiple tags, then click the delete button that appears at the top of the table.
Toolbar Actions
The toolbar provides several options for managing your list of tags:
- Filter: Toggle the view between Enabled, Disabled, or All tags.
- Export: Download the full list of tags in
.xlsxformat. - History: Export a complete change log for auditing and review purposes.
Customising the Table View
Customise the definition tag table with these layout tools:

- Use Colour Strategically: Assign distinct colours to different types of tags (e.g., red for urgent, yellow for pending, green for approved) to create an intuitive visual system.
- Archive, Don't Delete: It is best practice to Disable tags that are no longer in use instead of deleting them. This preserves historical context without cluttering the active tag list.
- Keep it Simple: Avoid creating too many tags. A concise, well-defined set is more effective and easier for teams to adopt and use.
Troubleshooting
Why does my tag not appear on a style?
The tag may be Disabled or the user may not have refreshed the style Definition view.

- Confirm the tag is Enabled in Site Settings › Style › Definition Tags
- Re-open the style Definition tab and reselect the tag if needed
Why are tag colours confusing the team?
Too many similar colours or overlapping meanings reduce clarity.
