Style Files

The Files tab in the Style allows users to upload, organise, and manage all documents related to a style entry. This section supports a wide variety of file types and offers folder-based organisation for better document control. Typical uploads include design files, CAD drawings, fabric references or swatch imagery, and product photography that supports development and sign-off. Folder and lock controls help merchandising and design keep sensitive seasonal assets organised without mixing them into formal Documents outputs.

Style Files

This section is ideal for storing tech packs, spec sheets, CADs, and related documentation needed throughout the product development lifecycle. Permissions and locking features help ensure secure file handling and version control.

File List Structure

The file list displays the following columns for each file or folder:

Column Description
Name Name of the file or folder. Folders can be expanded to reveal nested items.
Size Dynamic file size display.
Modified By Shows who last uploaded or edited the file.
Date Shows the date the file or folder was created or updated.

Core File Actions

These actions are available to users with appropriate permissions and allow for basic file management.

Feature Description
Upload Files Drag and drop files into the workspace to upload them. Supported file types include PDFs, DOCX, XLS, ZIP, MP4, PNG, and more. The maximum file upload size is 500 MB. (Subject to user permissions)
Download Download individual files or use bulk actions to download multiple files at once. (Subject to user permissions)
Save Link As Right-click on any file and use Save Link As to save it directly to your preferred location on your computer without having to download it first. (Available to all users with file access)
Delete Remove files or folders as needed. Bulk delete is supported for multiple selections. (Subject to user permissions; locked files cannot be deleted)

File Organisation Features

These features help organise and structure files within the style record.

Feature Description
Folder Management Organise files into custom folders (e.g., Tech Packs, CADs, Approvals). Folders can be expanded to reveal nested items and help separate file types or organise by workflow stage.
Add a Folder Folder
Add files — Upload one or more files to the current location.
Upload as private — Upload files that are automatically locked and will not be shared to suppliers. Use this for sensitive documents that should remain internal only.
• Create Folder Name Folder
Lock/Unlock Files Restrict edit and delete access for finalised documents. Locked files cannot be modified or deleted by other users, helping to preserve approved versions. (Available to administrators and style record owners)
Bulk Actions Select multiple files to download or delete at once, streamlining document management for larger style records. (Subject to user permissions) Delete

Deleting Folders

You cannot use the bulk delete action on folders with files in it.

Important Notes When Using Files

Access Control: File visibility and management capabilities depend on your user role and permissions. Locked files cannot be edited or deleted by users without the appropriate access.

File Deletion: Deleted files are permanently removed and cannot be recovered. Exercise caution when deleting files, especially those that may be referenced in other parts of the system or contain important historical context.

Upload Limits: The maximum file upload size is 500 MB. Larger files may need to be compressed or split before uploading.

Locked Files: Lock files after approval to avoid unintended changes. Only users with appropriate permissions can unlock files.

Best Practices

Use Folders: Organise files into folders to separate file types (e.g., Tech Packs, CADs) or by workflow stage for easier navigation.

Monitor Activity: Check the Modified By column to track version updates or user activity on shared documents.

Lock After Approval: Lock files once they have been finalised or approved to prevent accidental modifications.
